Cybermatter LLC, a Florida limited liability company (“Cybermatter,” “we,” “us,” or “our”), operates the website located at https://cybermatter.tech, including its localized versions (collectively, the “Website”).

This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit the Website, submit an inquiry, or otherwise communicate with us through the Website.

This Privacy Policy applies to information collected through the Website and communications initiated through it. Information that Cybermatter processes on behalf of a client during a consulting, training, development, or AI implementation engagement is governed by the applicable services agreement, statement of work, confidentiality agreement, or data processing agreement.

1. Information We Collect

1.1 Information You Provide

When you submit a contact form or communicate with us, we may collect:

  • your name;
  • your work email address;
  • your company or organization;
  • the content of your message;
  • information about the business challenge, workflow, or project you choose to describe;
  • subsequent correspondence and meeting information.

Please do not submit passwords, payment card information, government identifiers, health information, confidential business information, proprietary datasets, or other sensitive information through the Website.

Submitting an inquiry does not create a confidential, advisory, or client relationship with Cybermatter. Confidential or proprietary information should be shared only after appropriate contractual protections are in place.

1.2 Information Collected Automatically

When you visit the Website, our hosting and infrastructure provider, Vercel, may automatically process limited technical and usage information, including:

  • IP address;
  • browser type and version;
  • device type and operating system;
  • referring website or page;
  • pages requested;
  • date and time of access;
  • approximate location derived from an IP address;
  • request, performance, diagnostic, and security logs;
  • information used to detect spam, misuse, or technical errors.

Cybermatter uses Vercel’s hosting infrastructure and built-in technical, performance, security, and observability features. We do not currently use a separate third-party analytics platform.

1.3 Sources of Information

We collect information:

  • directly from you;
  • automatically through the Website’s hosting and technical infrastructure;
  • from our email and form-delivery providers;
  • from your organization or colleagues when they include you in a business communication.

2. How We Use Information

We may use information to:

  • respond to inquiries and requested communications;
  • understand your business challenge and evaluate whether our services may be relevant;
  • arrange meetings and prepare proposals;
  • take steps requested before entering into a services agreement;
  • provide information about Cybermatter and its services;
  • manage prospective and existing business relationships;
  • operate, maintain, secure, troubleshoot, and improve the Website;
  • detect spam, fraud, abuse, security incidents, and technical problems;
  • protect Cybermatter, our clients, Website visitors, and service providers;
  • comply with legal, tax, accounting, and regulatory obligations;
  • establish, exercise, or defend legal claims.

We do not currently use contact form submissions to automatically enroll visitors in marketing mailing lists.

Cybermatter does not use Website inquiry information to make decisions that produce legal or similarly significant effects through solely automated processing.

3. Legal Bases for International Visitors

Where applicable law requires a legal basis for processing, we rely on one or more of the following:

  • our legitimate interests in operating the Website, responding to business inquiries, securing our systems, and developing professional relationships;
  • taking steps at your request before entering into a contract;
  • performing a contract with you or your organization;
  • complying with legal obligations;
  • your consent, when consent is required.

Where processing is based on consent, you may withdraw that consent. Withdrawal does not affect processing that occurred before the withdrawal.

4. How We Disclose Information

We may disclose information as described below.

4.1 Website Hosting and Infrastructure

The Website is hosted on Vercel. Vercel provides website hosting, content delivery, security, technical logging, performance monitoring, and related infrastructure services.

Vercel may process IP addresses, request information, device and browser information, approximate location, diagnostic information, and other technical data needed to provide and protect its services.

4.2 Contact Form Delivery

Cybermatter uses Resend to transmit contact form submissions from the Website to our email account.

Information processed through Resend may include:

  • your name;
  • your work email address;
  • your company;
  • your message;
  • technical and email-delivery metadata.

Resend may maintain delivery records, logs, and other information in accordance with its own retention practices.

4.3 Email Communications

Contact form submissions and subsequent correspondence are currently received and managed through Gmail, a service provided by Google.

Google may process and store message content, contact information, attachments, delivery information, account information, and technical metadata as necessary to provide Gmail.

4.4 Professional Advisers

We may disclose information to attorneys, accountants, insurers, auditors, and other professional advisers when reasonably necessary.

4.5 Legal and Safety Requirements

We may disclose information when we reasonably believe disclosure is necessary to:

  • comply with applicable law, regulation, legal process, or government request;
  • investigate fraud, security incidents, or misuse;
  • protect the rights, property, or safety of Cybermatter or others;
  • establish, exercise, or defend legal claims.

4.6 Business Transfers

Information may be disclosed as part of a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to appropriate confidentiality protections.

Cybermatter does not sell or rent personal information. Cybermatter does not currently share personal information for cross-context behavioral advertising or targeted advertising.

5. Cookies and Similar Technologies

Cybermatter does not currently use advertising cookies, marketing pixels, or a separate third-party analytics platform.

Vercel’s infrastructure and built-in services may use technical mechanisms or process limited usage information as necessary to deliver, secure, monitor, and improve the Website.

If Cybermatter introduces non-essential analytics, advertising technologies, or additional cookies, we will update this Privacy Policy and implement any consent or opt-out mechanism required by applicable law.

You can configure your browser to block or delete cookies. Blocking necessary technologies may affect Website functionality.

6. Do Not Track and Third-Party Tracking

Some browsers offer a “Do Not Track” setting. Because there is currently no universally accepted technical or legal standard for interpreting Do Not Track signals, the Website does not currently respond to them.

Cybermatter does not currently use cross-site behavioral tracking and does not authorize advertising companies to collect personally identifiable information about Website visitors over time and across unrelated websites for behavioral advertising.

If these practices change, we will update this Privacy Policy and provide any controls required by applicable law.

7. Data Retention

Cybermatter retains information only for as long as reasonably necessary for the purposes described in this Privacy Policy.

We generally retain contact form submissions and related correspondence for up to 12 months after the last substantive communication.

Information may be retained longer when:

  • an inquiry results in a client or contractual relationship;
  • retention is required for legal, tax, accounting, insurance, or compliance purposes;
  • information is needed to establish, exercise, or defend legal claims;
  • information is required for security, fraud prevention, or dispute resolution;
  • you ask us to maintain an ongoing business relationship.

After the applicable retention period, we will delete or anonymize information in systems under our control unless continued retention is required or permitted by law.

Vercel, Resend, and Google may retain limited logs, backups, security records, or other information according to their respective policies and contractual obligations.

8. Your Choices and Privacy Requests

Depending on your location and applicable law, you may have the right to request that we:

  • provide information about the personal information we maintain about you;
  • provide access to that information;
  • correct inaccurate or incomplete information;
  • delete information;
  • restrict or object to certain processing;
  • provide a portable copy of certain information.

To submit a privacy request, use our contact form and include “Privacy Request” at the beginning of your message.

If the Company field does not apply to your request, enter “N/A.”

Please do not submit identification documents, government identifiers, passwords, financial information, or other sensitive information through the contact form. If identity verification is necessary, we will contact you using the email address provided with your request and explain the appropriate verification process.

We may need to verify your identity before completing a request. Certain information may be retained when required by law or when necessary for security, fraud prevention, contractual obligations, or legal claims.

We will respond within the period required by applicable law.

9. California Privacy Disclosures

If you are a California resident, the categories of information we may collect include:

  • identifiers, such as your name, email address, and IP address;
  • professional information, such as your company;
  • internet or network activity, such as Website usage and technical logs;
  • information contained in your inquiry and subsequent communications.

California residents may request to review, correct, or delete personal information using the privacy request process described in Section 8.

Cybermatter does not sell personal information and does not currently share personal information for cross-context behavioral advertising.

Our response to Do Not Track signals and our disclosure concerning third-party tracking are described in Section 6.

10. Data Security

Cybermatter uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

These measures include the use of HTTPS, access restrictions, provider security controls, and limiting access to information based on business need.

No website, transmission method, email service, or storage system can be guaranteed to be completely secure. You should use appropriate caution when deciding what information to submit through the Website.

11. International Visitors

Cybermatter is based in the United States. If you access the Website from another country, your information may be transferred to, processed, and stored in the United States or other countries in which Vercel, Resend, Google, or their service providers operate.

The privacy and data protection laws of those countries may differ from the laws in your country. Where required, appropriate legal mechanisms will be used for international data transfers.

Making the Website accessible outside the United States does not mean that Cybermatter offers services in every jurisdiction.

12. Children’s Privacy

The Website is intended for business professionals and is not directed to children under 13.

We do not knowingly collect personal information from children under 13. If we learn that such information has been collected, we will take reasonable steps to delete it.

13. Third-Party Links

The Website may contain links to third-party websites or services. Cybermatter is not responsible for the privacy, security, or content practices of those third parties.

We encourage visitors to review the privacy policies of third-party websites before providing information to them.

14. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our services, providers, technologies, data practices, or legal obligations.
